Terms and Conditions

INTRODUCTION

These Terms and Conditions govern the use of services provided by NVMG Inc. (“Company,” “we,” “us,” or “our”). By engaging our medical billing, coding, credentialing, consulting, or educational services, or by using our website, you (“Client,” “you,” or “your”) agree to be bound by these Terms and Conditions.

SERVICES PROVIDED

NVMG Inc. provides professional medical billing services, including but not limited to charge entry, medical coding, provider credentialing, claims submission, accounts receivable follow-up, denial management, and medical coding education services. Specific services provided will be outlined in a separate written agreement, proposal, or service contract executed between the Company and the Client.

PRICING AND FEES

Pricing for services is determined based on the scope of work, volume of claims, complexity of services, or negotiated on a per-project or percentage-of-collections basis, as agreed upon in writing. Educational course pricing is listed at the time of enrollment or provided in writing prior to registration.

PAYMENT TERMS

Unless otherwise agreed in writing, invoices are due upon receipt and payable within thirty (30) days from the invoice date. The Company may require deposits, milestone-based payments, or recurring monthly payments depending on the service arrangement. Payments may be processed electronically, including through Stripe or other secure payment processors.

LATE PAYMENTS

Late payments may be subject to a late fee of up to 1.5% per month or the maximum amount permitted by law, whichever is less. The Company reserves the right to suspend services if payment is not received within fifteen (15) days after written notice of nonpayment.

REFUND AND CANCELLATION POLICY

Billing and consulting service fees are generally non-refundable once services have been performed. Clients may terminate ongoing services with thirty (30) days’ written notice, subject to payment for all services rendered through the termination date. Educational course fees are non-refundable once course materials have been accessed or instruction has begun, unless otherwise stated in writing. Any approved refunds will be processed to the original payment method.

CLIENT RESPONSIBILITIES

Clients agree to provide accurate, complete, and timely information necessary for the performance of services. Clients are responsible for compliance with all applicable healthcare laws and regulations related to their medical practice. The Company is not responsible for delays or errors resulting from incomplete or inaccurate information provided by the Client.

COMPLIANCE AND CONFIDENTIALITY

The Company operates in accordance with applicable federal and state regulations, including HIPAA requirements. Any protected health information handled by the Company will be managed in accordance with applicable Business Associate Agreements and legal requirements.

LIMITATION OF LIABILITY

To the fullest extent permitted by law, the Company shall not be liable for indirect, incidental, consequential, or special damages arising out of or related to the use of our services. The Company’s total liability shall not exceed the amount paid by the Client for services during the three (3) months preceding the event giving rise to the claim.

INDEMNIFICATION

Clients agree to indemnify and hold harmless NVMG Inc., its officers, employees, and contractors from any claims, damages, or liabilities arising out of inaccurate information provided by the Client or the Client’s failure to comply with applicable laws and regulations.

INTELLECTUAL PROPERTY

All materials, training content, reports, templates, and proprietary systems developed by the Company remain the intellectual property of the Company unless otherwise agreed in writing.

GOVERNING LAW

These Terms and Conditions are governed by the laws of the Commonwealth of Virginia, without regard to conflict of law principles. Any disputes shall be resolved in the appropriate courts located in Virginia.

CHANGES TO TERMS

The Company reserves the right to update these Terms and Conditions at any time. Updated terms will be posted on the Company’s website with the effective date indicated.
